RealSalesOS ("we", "our", "RealSalesOS") provides an AI voice receptionist service for small businesses. This Privacy Policy explains what data we collect, how we use it, how we store it, and what choices you have. RealSalesOS is the data controller for information collected through this website and our service.

1. What we collect

Account information: name, business name, email, phone, billing details. Provided by you when you sign up for the pilot or a paid plan.

Call data: caller phone numbers, call audio recordings, AI-generated transcripts, appointment details, and metadata (timestamps, duration, outcome). Calls are recorded with a verbal notice played at the start of each call where required by law.

Website analytics: standard request logs (IP address, user agent, pages visited) and opt-in cookies for traffic measurement. We do not sell this data to advertisers.

2. How we use it

Call data is used to operate the service: routing calls, generating transcripts, booking appointments, and producing summaries we send to you. Aggregated, de-identified data may be used to improve our underlying voice models. We do not use your customers' identifying call content to train models without a separate written agreement.

3. How we store it

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Call recordings and transcripts are stored in US-based data centers. By default, recordings are retained for 90 days and transcripts for 12 months; both can be shortened or extended in your account settings or by contract.

4. Subprocessors

We use a small number of vetted subprocessors to deliver the service, including: Retell (voice orchestration), Twilio (telephony), Cal.com (scheduling), and standard cloud infrastructure providers. A current list is available in our DPA.

5. TCPA & call-recording compliance

We honor TCPA requirements: outbound calls are made only to numbers with documented consent, opt-out requests are processed within 24 hours, and call-recording disclosures are played in two-party-consent jurisdictions. Do-not-call lists are checked before outbound campaigns.

6. Your rights (GDPR / CCPA)

You may request access, correction, export, or deletion of your personal data at any time by emailing privacy@realsalesos.com. We respond within 30 days. EU/UK users have the right to lodge a complaint with their local supervisory authority.

7. Breach notification

In the unlikely event of a data breach affecting your information, we will notify you within 72 hours of discovery and cooperate with applicable regulators.

8. Changes

We may update this policy. Material changes will be announced via email and on this page. Continued use after changes constitutes acceptance.
