How RealSalesOS works
Everything in one place — what each part does, how a call flows end to end, and how to wire it into the tools you already use.
1. What RealSalesOS is
RealSalesOS is an AI phone receptionist for service businesses. It answers every call in under a second — 24/7 — qualifies the caller, answers questions about your pricing and hours, books appointments on your calendar, and notifies you. It never sleeps, never puts anyone on hold, and never lets a call ring out to a competitor.
2. What happens on a call
- Rings → AI answers in <1s with your greeting.
- Intake. It asks the right questions for your trade, filters spam, and detects urgency.
- Answers. Pricing, service area, hours — straight from your dashboard settings.
- Books. Checks live calendar availability and locks the slot while the caller is still on the line.
- Confirms & notifies. Caller gets an email/SMS confirmation; you get an alert with the full call summary.
- Escalates. Emergencies or “I need a person” trigger a warm transfer to your handoff phone.
3. The dashboard, setting by setting
Every setting in your dashboard has a hover tooltip (the ⓘ icon). Here’s the full reference:
4. Booking: Google Calendar & Calendly
Google Calendar (preferred). Connect it once from the dashboard. The AI reads your real free/busy in real time, offers open slots, and writes a confirmed event with the caller as an attendee — they get a calendar invite automatically.
Calendly (fallback). If Google Calendar isn’t connected, the AI shares your Calendly link and captures the lead so nothing is lost.
5. Notifications: SMS, email, Telegram
- Email — booking confirmations to the caller and to you (always on).
- SMS — owner alerts, caller recaps, daily digest. Requires SMS to be provisioned on your number.
- Telegram — instant push for leads, bookings, and urgent calls. Add your chat ID in the dashboard.
6. Human handoff
When a caller asks for a person or the AI detects an emergency, it warm-transfers the live call to your handoff phone and sends you the context so you’re not starting cold. Set the handoff number in the dashboard — make it a real human line, not the AI’s own number.
7. Outbound webhooks (Zapier / Slack / custom)
In the dashboard’s Outbound webhooks section you can add up to 3 URLs and choose which events fire them:
lead.new— a new lead was capturedbooking.created— an appointment was bookedcall.completed— a call finished, with summarycall.urgent— an urgent call was flagged
Slack incoming-webhook URLs are auto-detected and posted as a formatted message. Any other URL gets a
JSON POST: { event, customer_id, business_name, ts, data }.
Point it at Zapier, Make, n8n, or your own endpoint.
